Appointments
- All appointments must be booked in advance via online booking system, phone or direct message on social media.
- Please ensure all personal and medical information provided is accurate and up to date.
- It is your responsibility to inform the therapist of any changes to your health prior to treatment.
Cancellations & Missed Appointments
- A non-refundable deposit is required to secure your appointment. This deposit will be deducted from the total treatment fee.
- Cancellations made within 24 hours and missed appointments without notice will be charged 100% of the treatment fee.
- Late arrivals may result in reduced treatment time while being charged the full session fee.
Payment Terms
- Payment is due at the time of appointment unless otherwise agreed.
- Accepted payment methods: card, card or bank transfer.
Health & Medical Information
- Clients must complete a health screening form prior to their first session.
- It is your responsibility to disclose all relevant medical conditions, injuries, medications, or changes in health status.
- Sports therapy is not a substitute for medical diagnosis or treatment from a GP or specialist. The therapist reserves the right to refuse treatment if deemed inappropriate or unsafe.
Consent to Treatment
- By attending your appointment, you consent to assessment and treatment.
- Treatment techniques may include (but are not limited to): Manual therapy, soft tissue massage, joint mobilisation, rehabilitation exercises, taping or strapping
You may withdraw consent at any time during treatment.
Results & Outcomes
- While every effort is made to provide effective treatment, results cannot be guaranteed.
- Recovery timelines vary depending on the individual, injury type, and adherence to rehabilitation advice.
Data Protection & Confidentiality
- All client information is kept confidential and stored securely in accordance with the UK GDPR and Data Protection Act 2018.
- Information will not be shared without your consent unless required by law.
Children & Young Persons
- Clients under 18 must have parental/guardian consent.
- A parent or guardian may be required to remain present during treatment.
Professional Boundaries
- The clinic operates a zero-tolerance policy towards inappropriate behaviour, harassment, or abuse.
- The therapist reserves the right to terminate treatment immediately if professional boundaries are breached.
Liability
- Treatment is undertaken at your own risk.
- The clinic holds appropriate professional indemnity and public liability insurance.
- The clinic is not liable for loss or damage to personal belongings brought onto the premises.
Complaints
- Any concerns or complaints should be raised directly with Eve Sheppard at The Conversion Room in writing via theconversionroom@hotmail.com.
- Complaints will be acknowledged within 5 working days and handled professionally and confidentially.
