Purpose To ensure clear expectations between HairByHannah and our clients regarding appointment bookings, deposits, cancellations, rescheduling, and no-shows. This policy protects both the client’s time and the stylist’s schedule while maintaining the highest level of professional service and mutual respect. 2. Scope This policy applies to: • All clients of HairByHannah for any service requiring an appointment (haircut, coloring, styling, treatments, etc.) • All HairByHannah staff and independent contractors who book, modify, or manage client appointments 3. Definitions 3.1 “Appointment”: A scheduled service time reserved by a client. 3.2 “Deposit”: A pre-payment (non-refundable under certain conditions) applied toward the total service cost. 3.3 “Cancellation”: Client-initiated termination of a scheduled appointment. 3.4 “Reschedule”: Client-initiated change of appointment date/time. 3.5 “No-Show”: A client’s failure to appear for a scheduled appointment without prior notice. 4. Policy Guidelines & Requirements 4.1 Deposits a. Required Services: All b. Amount: 50% of the estimated service cost. c. Payment Methods: Credit/debit card or digital payment d. Application: Deposits are credited toward the final invoice. 4.2 Cancellations a. Notice Period: Clients must provide at least 48 hours’ notice to cancel without penalty. b. Late Cancellation (under 48 hours): Forfeiture of deposit. c. Same-Day Cancellation (under 24 hours): 100% service charge up to the value of the deposit. 4.3 Rescheduling a. Within Notice Period: No penalty—deposit carries over to new appointment. b. Late Reschedule (less than 48 hours’ notice): Deposit forfeited; new deposit required upon rebooking. 4.4 No-Shows a. Failure to arrive: Deposit forfeited; client must remit a new deposit before rebooking. b. Habitual no-shows (2+ occurrences): May result in refusal of future service or requirement of full prepayment. 5. Procedures 5.1 Booking & Deposit Payment a. Client receives an estimate and link to pay deposit via booking confirmation email or salon portal. b. Appointment is secured only after deposit receipt. 5.2 Cancellation & Rescheduling Process a. Client contacts HairByHannah by email (hairbyhannahpc@gmail.com) b. Staff logs the request, verifies client identity, and confirms new booking or processes deposit forfeit/refund as appropriate. 5.3 Deposit Refund Process a. Refund Eligibility: Deposits for cancellations made with at least 48 hours’ notice. b. Refund Timing: Processed within 5–7 business days to the original payment method. c. Exceptions: Third-party booking platforms may have separate refund timelines. 6. Compliance & Consequences 6.1 Staff: Must enforce policy consistently and courteously. Failure to follow policy may result in internal review. 6.2 Clients: Non-compliance may lead to deposit forfeiture, additional fees, or refusal of future service. 7. Disclaimers & Legal Considerations 7.1 Policy Changes: HairByHannah reserves the right to amend this policy; clients will be notified via email or posted notice. 7.2 Liability: HairByHannah is not liable for financial loss due to client cancellations beyond deposit terms. 7.3 Governing Law: This policy is governed by the laws of Britain 7.4 Force Majeure: In events beyond reasonable control (e.g., natural disaster, public health emergency), deposit forfeiture may be waived at management’s discretion. 8.
