Beauty and Spa by Sophie Terms and Conditions
1. Appointment Booking and Cancellation Policy
- At Beauty and Spa by Sophie, we value your time and strive to provide excellent service. In order to ensure the best experience for all of our clients, we have implemented the following cancellation policy:
-24-Hour Notice: If you need to cancel or reschedule your appointment, we kindly ask that you give us at least 24 hours' notice. This allows us to offer the time slot to other clients who may be waiting for an appointment.
-Late Cancellations or No-Shows: If you cancel or reschedule within 24 hours of your appointment or fail to show up, we reserve the right to charge a cancellation fee (100%) of the service cost. Repeated no-shows or late cancellations may require full payment on booking to secure future appointments.
-Emergency Situations: We understand that emergencies happen. If you have an unavoidable situation that prevents you from attending your appointment, please contact us as soon as possible, and we will do our best to accommodate you.
2. Payment Terms
- Payment Methods: We accept cash, card, or bank transfer
- Deposits: For Advanced Facial services or any services total over £70 , a 10% deposit is required to secure the booking. The deposit is non-refundable if the appointment is cancelled or rescheduled less than 24 hours in advance.
- Final Payment: Payment for services is due upon completion of the treatment.
3. Personal Information and Privacy Policy
- This policy explains why and when Beauty and Spa by Sophie and Inspire Studio (“we”, “us” or “our”) collect your personal information and data, how we use it and how we keep it secure. Beauty and Spa by Sophie and Inspire Studio is the data controller and processes your personal information for the purposes stated in this document. You can opt out at any time and your data will not be used for any other purpose.
-What personal information we collect: When booking an appointment with us we will collect your name, contact details and address. Some services cannot be provided to anyone under the age of 16 so we may have to ask your age as well. We keep records of your services performed and goods sold. We also keep records of any allergy tests and strand tests that are required for services to be performed.
-Purpose for collecting your personal data: We collect your data to provide you with goods and services, to process payments for goods sold, services performed, and to keep records of your appointments, Your data will be used to contact you for the following reasons:

-When and why it will be deleted: General client record cards will be deleted after one year, skin test results will be deleted after four years, and financial records after 6 years. You have the right to ask for this data to be deleted at any point within these time frames.
4. Health and Safety
- Consultation: A consultation may be required prior to certain treatments to assess your suitability and any potential contraindications. Please inform your therapist of any allergies, sensitivities, or medical
conditions that may affect your treatment.
- Age Restrictions: All clients must be 16 years old or over. Some treatments may have a different age restriction. Please see treatment description for any differing age restrictions. We reserve the right to refuse treatment if you do not meet the necessary age requirements.
- Health Conditions: If you are under medical treatment, pregnant, or have a health condition, please consult your doctor before booking any treatments.
5. Service Guarantee
- We aim to provide the highest quality services, but in the event of dissatisfaction with a service, please contact us within 24 hours to allow us to resolve the issue.
6. Late Arrivals
- We kindly ask that you arrive 10 minutes prior to your appointment. If you are running late, please inform us as soon as possible. Late arrivals may result in a shortened treatment time or rescheduling, depending on the availability.
7. Gift Vouchers
- Validity: Gift vouchers are valid for 12 months from the date of purchase.
- Non-refundable: Gift vouchers are non-refundable and cannot be exchanged for cash.
8. Conduct
- Salon Behaviour: We reserve the right to refuse service to any client who behaves inappropriately or in a manner that disrupts the comfort or safety of our staff or other clients.
- Responsibility: Clients are responsible for their own personal belongings. The salon is not responsible for any lost or stolen items.
9. Special Offers and Discounts
- Any promotions or discounts are subject to availability and may have specific terms and conditions.
10. Changes to Terms and Conditions
- We reserve the right to amend or update these Terms and Conditions at any time. Any changes will be communicated via our website or by email/SMS.
