When you book an appointment, I may collect personal information including your:
New clients are asked to complete a paper consultation form before treatment. This may include information relating to your health, medical history, medications, allergies, contraindications or other information necessary to determine whether a treatment is suitable and can be carried out safely.
Health information is treated as sensitive personal information and is handled with particular care.

Booking and payment providers
I use Solo to manage online bookings, appointment information and certain client records.
Where a deposit is required when booking, online payments are processed through Stripe.
Payments made at your appointment may also be made by bank transfer, cash or card. Card payments are processed using Clover.
These providers may process personal information where necessary to provide their services and operate under their own privacy and data protection arrangements.
The Treatment Room by Katie does not sell your personal information to third parties.
Consultation Forms & Health Information
Paper consultation forms are stored securely and are only accessed and used where necessary for your treatment, safety, record keeping or where required in connection with a complaint, insurance claim or legal matter.
Health and medical information is only collected where it is relevant and necessary to assess treatment suitability and provide your treatment safely.
Please let me know if any relevant health information changes so that your client record can be kept up to date.
How Long I Keep Your Information
Client consultation forms, treatment records and relevant client notes will normally be retained for 7 years following your last treatment with The Treatment Room by Katie.
This retention period allows me to maintain appropriate treatment records and respond to any queries, complaints, insurance claims or legal matters that may arise following a treatment.
Other personal information will only be retained for as long as reasonably necessary for the purpose for which it was collected or where it must be retained for legal, accounting, insurance or regulatory purposes.
When personal information is no longer required, electronic information will be securely deleted and paper records will be securely destroyed.
Different retention periods may apply to records relating to clients under the age of 18.
Marketing
Your contact information will not automatically be used for marketing simply because you have booked an appointment.
If The Treatment Room by Katie introduces email, text or other direct marketing, this will only be carried out where permitted by applicable data protection and electronic marketing rules.
Where consent is required, you will be given the opportunity to choose whether you would like to receive marketing communications. You will be able to unsubscribe or change your marketing preferences at any time.
Appointment confirmations, reminders and messages necessary to administer your booking are service communications and are separate from marketing.
