Terms & Conditions Key Words: We, us or our means ‘The Scalp Retreat’. We are a registered business in England, UK. You or your means the person whom the booking relates to. Changes to Terms & Conditions: We reserve the right to update or modify these terms and conditions at any time without prior notice. Changes become effective upon posting on our website.
All bookings are managed through an online booking platform, Booksolo. New clients must make their first initial booking online, thereafter future bookings can be made in person or online. The following details are taken at the time of booking a treatment with us: - First and last name - Email address - Mobile number - Card details (long card no, expiry date, CVC) in line with our cancellation policy detailed further below. Upon booking an appointment clients will be prompted to agree to our cancellation policy stating: ”No cancellations or changes allowed without 72 hours of the appointment. Cancellations within 72 hours will result in a fee equal to 30% of the booking. Please note that any no-shows or cancellations without 48hours will incur a 100% charge to cover loss of earnings.” A deposit is required to secure your booking with The Scalp Retreat. If the deposit is not paid within 72 hours of booking confirmation, The Scalp Retreat reserves the right to cancel your appointment. Clients must fill out a pre-treatment consultation form prior to their first visit, which is sent virtually once a booking confirmed. Clients are not required to fill out further forms, unless pregnant or should any circumstances change in their health or contact information that has previously been provided.
You can cancel or reschedule your appointment once for up to 72 hours before the scheduled time. After this period, you will be charged the full deposit amount, and any additional changes may incur an administrative fee. Any deposit refunds with have a £5 admin charge deducted. Please note cancellation 48 hours before your appointment, you will be charged 100% of the appointment fee.
We ask that clients do not use mobile phones during treatments. We encourage clients to use their time with us to relax as much as possible, mobile phones can create a distraction and we want you to receive the best experience. The Scalp Retreat is not responsible for the loss or damage of personal items during client’s visit to the cabin. The Scalp Retreat reserves the right to refuse treatment to any client who is physically or verbally abusive towards any of our staff - including but not limited to any inappropriate, aggressive or sexual behaviour. We reserve the right to refuse treatment to any client who is intoxicated or believed to be under the influence of non-medicated drugs. The Scalp Retreat reserve the right to refuse to perform treatments, at any point in accordance with their professional code of conduct and duty of care.
We advise you to arrive on time for your treatment. If all the curtains are closed, I may be with a client, please do not enter. Arrivals later than 10 minutes from your scheduled appointment time will be treated as a no-show and full payment will be due. If you arrive late to your appointment for any reason, your treatment time will be reduced in consideration of the next client. All late arrivals will be charged the full value of the treatment regardless of payment method.
The Scalp Retreat must be informed prior to any appointment booked for a client under the age of 18 and written consent of a parent or guardian must be given at the time of booking.
Those clients who are pregnant should not book a treatment due to being face up for a period of time. Treatment will be cancelled. The Scalp Retreat must be informed of any pregnancies to the best of the clients knowledge at the time of booking. The Scalp Retreat asks that you complete your consultation form as early as possible. Any client who arrives to an appointment under circumstances that we can’t treat, will not receive the booked service and full payment will be required. Likewise, if information comes to light within the 72 hour cancellation period, The Scalp Retreat reserves the right to enforce the 30% fee. The Scalp Retreat will not be held liable for any consequences in connection with a client not disclosing pregnancy to us prior to the appointment.
All health conditions and any medication must be disclosed on a client’s pre-treatment form. The Scalp Retreat must be informed of any health conditions to the best of a client’s knowledge at the point of booking. Regrettably, The Scalp Retreat is not insured to treat cancer patients, nor do we hold the expertise in Oncology massage to ensure that clients receive a safe treatment under these circumstances. The Scalp Retreat asks that you complete your consultation form as early as possible. Any client who arrives to an appointment under circumstances that we can’t treat, will not receive the booked service and full payment will be required. Likewise, if information comes to light within the 72 hour cancellation period, The Scalp Retreat reserves the right to enforce the 30% fee.
Gift vouchers are available to purchase online or in person. If you wish to have a physical gift card to give to your loved one, and have purchased a voucher online, please get in touch with us directly to arrange collection of your card copy. All vouchers are given a 6 month period in which a treatment(s) can be booked and the voucher can be redeemed against at the time of payment. Please note, even if you are planning to use a voucher for your treatment, you will still be required to enter your card details as usual when making a booking which runs in line with our cancellation policy. You can read this in detail above. A gift voucher cannot be used after the expiry date and any remaining balance will be removed and the code will become invalid and no longer available for use. We have no obligation to remind or inform you of a gift voucher’s expiry and it is your sole responsibility to ensure that any balance is used in full prior to expiry. Please also note we cannot control our diary for when you may be able to visit, so booking in advance and being prepared is strongly advised. If a recipient is unable to attend before the expiry date for any reason, the voucher may be used by someone else on their behalf, however the original expiry date will still stand no matter the circumstances, we cannot be held responsible to send reminders of expiry to both the purchaser and/or recipient. We cannot be held responsible for lost or stolen vouchers. All gift vouchers are non-refundable and non-exchangeable for cash. Gift vouchers cannot be used in conjunction with any other offers/promotions.
